How does the Price Match Guarantee work?

Do you, as a company, organisation or private individual, need an interpreter or translator without paying too much or endlessly comparing quotes? At MONA, we arrange it quickly, properly and at a competitive price with our Price Match Guarantee. If, despite our competitive rates, you still find a lower, comparable quote, we will match that rate and you will receive an additional 5% discount.

1. What does the Price Match Guarantee entail?

The Price Match Guarantee means that:

  • you first receive a quote from MONA for your interpreting or translation service;

  • if you then receive a lower, comparable written quote from another interpreting or translation agency based in the Netherlands;

  • we match that lower rate and you receive an additional 5% discount on that assignment.

This ensures you the lowest rate, without compromising on quality or service.

2. Who is the Price Match Guarantee for?

The guarantee applies to:

  • businesses and organisations in the Netherlands and abroad;

  • self-employed workers and other professionals;

  • private individuals with interpreting or translation requests (for example for official documents).

3. For which services does the guarantee apply?

The Price Match Guarantee applies to:

  • written translations: written translations whose translation direction is included in the Register of Sworn Interpreters and Translators (Rbtv) and that are carried out by a translator registered in the Rbtv (for example translations of deeds, reports and other official documents).

  • interpreting assignments: interpreting assignments whose language combination is included in the Rbtv and that are carried out by an interpreter registered in the Rbtv (for example at a civil-law notary, lawyer, judge or business meeting), with the exception of conference interpreting and whisper interpreting.

The Price Match Guarantee only applies to assignments for which we have issued you a concrete, itemised written quote. If, for whatever reason, we cannot or do not wish to offer you a quote, the Price Match Guarantee does not apply. Non-Rbtv language combinations and rare language combinations are excluded from the Price Match Guarantee, unless we have expressly agreed otherwise with you in writing.

4. When does a lower quote qualify?

A lower quote qualifies if:

  • the quote is in writing (email or PDF) and comes from a professional interpreting or translation agency based in the Netherlands;

  • the quote is no more than 14 days old at the time you submit it to us;

  • the quote is complete and itemised, including rates (per hour or per word), any surcharges, travel expenses and other cost items;

  • it concerns comparable conditions, including:

    • for interpreting assignments: the same language combination (for example Dutch ↔ English), the same level (B2 or C1), the same type of interpreting service (sworn or non-sworn), comparable content and context, the same date, time, duration, location, etc.;

    • for translation assignments: the same translation direction (for example Turkish → Dutch), the same type of translation (sworn or non-sworn), a comparable word count and number of documents, a comparable deadline and any additional requirements (such as formatting or method of delivery), etc.

If the quote is not directly comparable, we will work with you to see whether and how we can make a reasonable comparison.

5. How do you demonstrate a lower quote?

You simply send us:

  • the full written quote from the other agency (preferably in PDF);

  • optionally a brief explanation if certain parts require additional clarification.

We then assess:

  1. whether the assignment is genuinely comparable;

  2. whether the conditions of the Price Match Guarantee have been met.

If everything is in order, you will receive an adjusted quote from us with the matched rate plus an additional 5% discount.

6. Does the guarantee also apply retrospectively?

No. The guarantee applies only before the assignment is definitively awarded to MONA.

  • Have you already confirmed the assignment and do you receive a lower quote later on?
    Then this does not fall under the Price Match Guarantee.

We recommend that you share any other quotes with us straight away, before you finally award the assignment to us.

7. Does the guarantee apply per assignment or also to future assignments?

The Price Match Guarantee is applied per assignment:

  • as soon as a lower, comparable quote is demonstrated for a specific assignment;

  • we adjust our rate for that assignment and give a 5% extra discount.

For future assignments, we are happy to work with you to agree tailored arrangements, for example in the form of fixed rates or a framework agreement.

8. Are there situations in which MONA can refuse the guarantee?

Yes, in some cases we may refuse the guarantee, for example:

  • if it concerns a non-verifiable or incomplete quote;

  • if the quote comes from a freelancer or individual interpreter/translator instead of an interpreting or translation agency;

  • if the quote forms part of a framework contract with exceptional conditions or volumes that are not easily comparable;

  • if a special discount has been applied to the quote (for example that agency’s lowest-price guarantee, a temporary promotional or special offer price, or a volume discount that only applies to larger purchases);

  • if the quote does not meet the criteria set out in these terms and conditions.

In that case, we will of course explain to you why the guarantee cannot be applied and, where possible, still make you an appropriate proposal.

9. Why can we offer this guarantee?

We can offer this guarantee because we have deliberately structured our organisation around efficiency and low overheads:

  • we do not rent expensive, prestigious premises;

  • we operate without a call centre and keep communication lines short via email;

  • we use modern digital systems for planning, case management and invoicing;

  • we automate wherever possible, so that our team can focus entirely on quality, control and service.

As a result, our fixed costs remain low. This enables us to consistently offer keen prices and pass the difference with traditional agencies on to you as a benefit. The Price Match Guarantee is a logical consequence of this.

10. How do you request a quote with the Price Match Guarantee?

  1. You request a quote via our website for your interpreting service or translation service.

  2. You receive a quote from us by email.

  3. If you have a lower, comparable written quote from another interpreting or translation agency, you forward it to us by email.

  4. We assess the quote and, if the conditions are met, you receive an adjusted quote from us with the matched rate plus an additional 5% discount.
